Freelancer guide for strategists

Our customers come from a variety of sectors including energy, finance, tech, IT, FMCG, healthcare, travel,…too many to mention, in fact! The one thing they have in common is their need for great content that delivers results.

We trust our freelancers to act with integrity at all times. We don’t have a lot of rules, but there are a few things we expect from our freelancers. Any questions, just shout.

1. Rates: Please only discuss the rates for your projects with a member of the Contentoo team (Customer Success or Talent), never directly with our clients. In this case, Contentoo is your customer.

2. Presentation: Please treat all your meetings with the customer as opportunities to show your great credentials and character. Always show up on time, prepared to talk about your experience and ideas and with any questions you need to ask.

3. Deadlines: We take deadlines very serious so please make sure to not deliver your work late. If you are going to be late to a meeting or if you are worried you won’t meet your deadline, get in touch with the Contentoo team as soon as possible or contact the client directly. 

4. Client confidentiality: We sign NDAs with most of our clients. This means that you are not allowed to mention the names or share the work that you have made for the clients that you work for at Contentoo.

Introduction call with Contentoo

Once we have a project that matches your profile, we will reach out ot you. Next, you will be invited to an introduction video call with one of the Customer Success Managers from Contentoo. This way, we can confim that you are a good match for a specific client/project.

Following that introduction call, you will have a meeting with the client and the Customer Success Manager to discuss the details of the project and see if there is a match between you and the client.

If the discovery call went well, the Customer Success Manager will ask you to share a quotation with them. This should include a rough planning, deliverables, and budget allocation. Please make sure the presentation is Contentoo branded. 

Naturally, we want to make sure that we pay you on time and for all the great work you do. To ensure a smooth payment process, we have a specific invoice and process that we ask you to adhere to. Contentoo pays the invoices and we add an extra margin when invoicing our clients. Therefore, make sure to never discuss your rates with our clients. 

Invoicing information

What we need from you: an invoice containing all the completed projects in the previous month. The responsible Customer Success Manager will send you an overview of the month. Once you receive this overview, you can create and send us your invoice. 

Where to send it:

When should you send it: first week of the next month after receiving your overview with the project codes. For each project, you will be payed the following month. Therefore, in the first week of the month, you will have to send your invoice of the previous month. So for example, all projects finalised in the month of April, would need to be sent to us in the first week of May (1 invoice per month).

Information needed on the invoice:

  • Invoice date AND invoice number (accumulating)
  • Your company details
  • Name and address
  • Telephone number
  • Email address
  • Business registration number (e.g. Chamber of Commerce number in the Netherlands)
  • VAT number (if applicable. If you are exempt from VAT, you must state this explicitly and briefly explain the background or justification for the exemption)
  • Bank account information (IBAN if you are registered as an EU company)

When your business is within the EU (but outside of The Netherlands).

In this situation, please also provide the following:

  • A valid VAT number or briefly explain the background or justification for the exemption if you are exempt from VAT.
  • Include your own VAT number as well as ours on your invoice. Our VAT number is: NL856538322B01.
  • Please specify ‘VAT reverse charge’ on your invoice (effectively resulting in a zero amount of VAT).

When your business is outside the EU.

  • When you are established outside of the EU, you should not apply VAT on your invoice. Please make this explicit by stating that no VAT is applicable and applied.
  • Provide us with all the bank details needed for us to make an international bank transfer. What is needed, can vary per country.
  • Please check with your bank what information we would need in order to make an international wire transfer from the Netherlands to your bank account.
